Terms and Conditions

Quotes & Bookings

All quotes are valid for 14 days unless otherwise stated. Bookings are confirmed once the required deposit has been paid and written confirmation has been received.

Deposits & Payment

A deposit of up to 50% may be required to secure a booking. The remaining balance is due prior to delivery of final files unless otherwise agreed in writing. Late payments may incur reasonable additional fees or interest where permitted by law.

Bookings & Changes

If a booking is cancelled within 7 days of the scheduled shoot date, the deposit is retained to cover time reserved, planning, and preparation costs. If a booking is cancelled or significantly changed after work has already commenced, any completed work and time already spent will be charged accordingly. Rescheduling requests will be accommodated where possible and subject to availability. If Visuals by Beatrice is unable to complete a booking due to illness, emergency, or circumstances beyond reasonable control, reasonable efforts will be made to reschedule the booking. If rescheduling is not possible, a refund will be provided for any services not yet delivered.

Delivery Timeframes

Estimated delivery timelines will be discussed before the project begins. Delivery times may vary depending on project scope, workload, client response times, and revision requests.

Revisions

​Projects include a reasonable number of revisions, as outlined in the quote or proposal. Additional revisions or major changes outside the original brief may incur extra charges.

Client Responsibilities

The client agrees to provide accurate information, timely feedback, access to locations where required, and any necessary approvals, logos, assets, or materials needed to complete the project. Delays in providing required materials may affect deadlines.

Creative Control

Visuals by Beatrice will use professional creative judgment regarding filming style, photography style, editing approach, music selection (where appropriately licensed), and final presentation, unless specific requirements have been agreed in writing before the project begins.

Copyright & Usage

Unless otherwise agreed in writing, Visuals by Beatrice retains copyright ownership of all created content. Upon full payment, the client receives a non-exclusive licence to use the final delivered content for the agreed purpose and platforms discussed at the time of booking. Content may not be resold, sublicensed, or transferred to third parties without prior written permission. RAW files, unedited footage, project files, and source materials are not included unless agreed in writing and may incur additional fees.

Portfolio Use

Visuals by Beatrice may display completed work for portfolio, website, and promotional purposes unless confidentiality has been agreed in writing before the project begins.

File Storage

Final files will be stored for a limited time after delivery. Clients are responsible for downloading and backing up all delivered files promptly. Re-delivery or long-term storage is not guaranteed and may incur additional fees where available. 

Force Majeure

Visuals by Beatrice is not responsible for delays or inability to perform services caused by circumstances beyond reasonable control, including severe weather, illness, venue restrictions, technical outages, accidents, or emergencies. Where possible, reasonable efforts will be made to communicate promptly and reschedule or provide an appropriate remedy. 

Liability

All reasonable care is taken in delivering services and safeguarding files. To the extent permitted by law, including the Australian Consumer Law, any liability arising from the services provided is limited to the total fees paid for the specific project. Visuals by Beatrice is not liable for any indirect, incidental, or consequential loss.

Governing Law

These terms are governed by the laws of New South Wales, Australia.
