Terms and Conditions

Quotes & Bookings

All quotes are valid for 14 days unless otherwise stated. A booking is confirmed once the required deposit has been paid and written confirmation has been issued.

Deposits & Payment

A 50% deposit is required to secure all bookings unless otherwise agreed in writing. The remaining balance is due prior to delivery of final files unless otherwise agreed. Late payments may incur  additional fees or interest where permitted by law.

Bookings & Changes

Cancellations made within 7 days of the scheduled booking will forfeit the booking deposit. If work has already commenced (including planning, editing, or content creation), completed work and time spent will be charged accordingly. Rescheduling requests are subject to availability and will be accommodated where possible. If Visuals by Beatrice is unable to complete the booking due to illness, emergency, or circumstances beyond reasonable control, the booking will be rescheduled where possible. If rescheduling is not possible, a refund will be provided for any services not yet delivered.

Delivery Timeframes

Estimated delivery timelines will be discussed before the project begins. Delivery times may vary depending on project scope, workload, client response times, and revision requests.

Revisions

The number of revisions included in a project will be specified in the quote or proposal. Additional revisions or changes outside the agreed scope may incur additional charges.

Client Responsibilities

The client agrees to provide accurate information, timely feedback, access to locations where required, and any necessary approvals, logos, assets, or materials needed to complete the project. Delays in providing required materials may affect deadlines.

Third-Party Costs

Any third-party costs or project expenses, including stock footage, images, music licences, asset downloads, location or studio hire, filming permits, project-specific equipment hire, and other project-specific expenses, are not included in the quoted fee unless otherwise agreed in writing. These costs must be approved by the client before any purchase or booking and will be billed to the client at cost.

Copyright & Usage

Unless otherwise agreed in writing, Visuals by Beatrice retains copyright ownership of all created content. Upon full payment, the client receives a non-exclusive licence to use the final delivered content for the agreed purpose and platforms discussed at the time of booking. Content may not be resold, sublicensed, or transferred to third parties without prior written permission.

Final delivered work should not be materially altered, edited, remixed, recoloured, retouched, redesigned, or used to create derivative versions without prior written permission from Visuals by Beatrice. Minor technical adjustments required for platform specifications, such as resizing or cropping, are permitted.

RAW files, unedited footage, project files, and source materials are not included unless agreed in writing and may incur additional fees.

Portfolio Use

Visuals by Beatrice may display completed work for portfolio, website, and promotional purposes unless confidentiality has been agreed in writing before the project begins.

File Storage

Final files will be stored for a limited time after delivery. Clients are responsible for downloading and backing up all delivered files promptly. Re-delivery or long-term storage is not guaranteed and may incur additional fees where available. 

Force Majeure

Visuals by Beatrice is not responsible for delays or inability to perform services caused by circumstances beyond reasonable control, including severe weather, illness, venue restrictions, technical outages, accidents, or emergencies. Where possible, reasonable efforts will be made to communicate promptly and reschedule or provide an appropriate remedy. 

Liability

All reasonable care is taken in delivering services and safeguarding files. To the extent permitted by law, including the Australian Consumer Law, any liability arising from the services provided is limited to the total fees paid for the specific project. Visuals by Beatrice is not liable for any indirect, incidental, or consequential loss.

Governing Law

These terms are governed by the laws of New South Wales, Australia.
